How to Add a Venue

 1. Click on the Venue Module
 
 2. It will bring up the Venue Listing.
 
 3. To add a new Venue click on the Green Add button.
 
 4. You only need the Venue Name to add the venue.  For further explanation of the fields click here .
 5. The Category Type and Ent. Type can be accessed by pressing the Ctrl key and the D key at the same time.  To learn how to changes these to better suit your company click here.
   
 6. You can set the performance hours and the sets in these Venue fields and they will default to the contract.
 7. Once you have filled out the information for the Physical Address tab click on the Booking tab.
 
 8. If you will tab to the Contact Company it will default the information you just entered.  If the address is different however, then enter in the correct information.
 
 9. Once you have added all of the necessary information you can add the record.  To do this you can:
a.) You can click on Venue Listing Tab -- this will take you to the Venue Listing Grid
b.) You can click on the Add button -- this is good if you are adding more than one record
c.) You can press F12 on your keyboard -- this is a great option if you are editing or saving.

No matter what you choose the system will ask you if you wish to save changes.  Click Yes to save, No to not save and Cancel if you want to quit the whole thing.
 
 10. If you click on the Venue Listing Tab it will take you back to the grid where your new venue was added.  If you chose B it will give you a blank venue information screen to add the next venue.  If you chose C it will keep you on the venue's record.
 
 
Explanation of Fields:
  Venue  -- Thirty-five spaces are available for the name of the Venue (as it should appear) when completing an engagement.
  Address-1 -- Mailing address for correspondence regarding the Artist. There are twenty-five (25) spaces available for data.
  Address-2 -- The second line of the mailing address is for information such as Suite numbers, or other information that would not fit in the Address-1 field. There are twenty-five (25) spaces available for data.
  City  -- Input the city associated with the address for this record.
  State/ Region. -- Input the state, area, district or location related to the address.
  Zip -- Input the zip-code associated with the address for the current record.
  Ctry (Country) -- Input a three-digit country code for the country related to the address. For example:  USA, FRA. GER, AUS
  Telephone -- The telephone number of the Venue. All telephone fields have twenty-three (23) spaces available. The format for the telephone number is free form.
  E-Mail -- Input the E-Mail address for the current record.
  Contact/Manager -- The first place to put in a contact for the venue.  The first field is for the prefix such as Mr., Mrs., or Ms.  The other two are for the first and last name.  The title is the title of the first contact as well as their telephone.
  Category -- The type of venue.  Listed below are a few examples of the Category definition codes. The User may define these codes to any description that is needed to conduct business. The most common code can default from the Operational Control assignment.

     NC         Night Club
     PV           Pavilion
     TH           Theater
  Class -- This is for further definition of the venue.  For example Class 1 might hold up to 500 people, Class 2 can go to 1,000, Class 3 can go up to 1,500.  It is however you wish to define it.
  Entertainment Type -- The type of entertainment that the Venue usually books. The User may define these codes to any description that is needed to conduct business. The most common code can default from the Operational Control assignment.

      B           Big Band
      C           Comedy
      R             Rock
  Contract Rider. -- The valid responses are (Y) yes, or (N) no. If the code is ‘Y’, SEE ATTACHED RIDER will print on all contracts for this Venue. ‘N’ will default from the Operational Control Record
  Box Office. -- This telephone number field is for the Venue's Box Office, which can be used in promotional material. All telephone fields have twenty-three (23) spaces available. The format for the telephone number is free form.
  Fax. -- The telephone number for the business Fax machine. All telephone fields have twenty-three (23) spaces available. The format for the telephone number is free form.
  Performance Hours -- These are the hours that the venue usually has an act perform. When you fill out these hours they will default onto the contract when you choose this Venue.
  Sets -- The first field is for the number of sets usually required by the Venue.  The second field is for the amount of time for that set.  Ex: 1 Set/ 30 Min.
  Cap (Capacity) -- How many people the Venue holds
  Alt Telephone -- An alternate telephone number for the Venue. All telephone fields have twenty-three (23) spaces available. The format for the telephone number is free form.
  E-Mail -- Input the E-Mail address for the current record.
  Web-Site -- Input the Web-Site address for the current record.
  Misc. Info -- Two lines to enter in any additional information that is needed for this Venue.
